OneDrive is the cloud storage that comes with a Microsoft account, and it is built into Windows and Microsoft 365. Sharing a file is a right-click away, and for colleagues already working in Microsoft's apps, that is often the quickest route. The picture changes when the file goes to someone outside that circle, or when you want a link that expires without setting up anything else. This page compares OneDrive's sharing with Rapidfile so you can choose for the job in front of you.

Where OneDrive is the stronger pick
Being honest about this saves you time:
- Microsoft 365 work. If your team lives in Word, Excel and Teams, OneDrive keeps files in the same place those apps use. Rapidfile does not edit documents and has no sync client.
- Keeping the file in your storage. A OneDrive file stays where it is until you move or delete it, so the link can be as long-lived as you want. Rapidfile transfers expire, and the longest free link is 7 days with a free account.
- Sharing with a fixed group. OneDrive's "Specific people" option limits access to named people. Rapidfile works by link or code, so anyone who has the link or the code can open the transfer until it expires.
For a file that changes every week, or one that a team keeps coming back to, OneDrive is usually the simpler tool. For a broader view of the field, see our comparison of free file transfer services.
How OneDrive link sharing works
When you share a file in OneDrive, you pick a link type. Microsoft's help page lists four: "Anyone" links, which give access to anyone who gets the link, including people outside your organization; "People in your organization" links; "People with existing access", which sends a link without changing permissions; and "Specific people", which limits access to the people you name.
Microsoft's page says that link expiry and password protection are both available, and that both are "only available to Microsoft 365 subscribers." It also says that expiry and passwords can be set for folders shared with Anyone. The page we read did not make clear whether the same options apply to single files. If you need a password or an expiry date on one file, check Microsoft's current help or the sharing dialog in your own account before you rely on it.
This means the answer depends on the account you have. A free Microsoft account gets 5 GB of storage, and you should confirm what the sharing dialog offers on that account before sending anything sensitive.
Where Rapidfile fits better
- Sending without an account. Anything up to 500 MB goes through without an account on your side. See sending files without signing up.
- Expiry on the free plan. Every free transfer can expire after 1 hour, 1 day or 3 days (7 days with a free account), and you can delete it early. The expiry is set for the transfer, so you do not need a Microsoft 365 plan for it.
- Codes and QR codes. Each transfer has a 6-digit code and a QR code. This suits a meeting, a shared desk or a phone call, because nobody needs to copy a long address. Recipients type the code at rapidfile.cc/receive.
- Password and download limit. Add an optional password to a transfer, or set a download limit of 1, 5, 10, 50 or 100 downloads.
- Apps and scripts. The Mac and Windows apps add a "Rapidfile: Get link" entry to the right-click menu, and the CLI can send from a terminal or a script.
Sending a large file as a one-off
OneDrive is built for storage, so a single 3 GB video can feel like the wrong use of the account. Rapidfile is built for sending, so the workflow is different. You upload once, the transfer lives for the expiry you chose, and then it is removed. Files up to 500 MB need no sign-in. Files up to 2 GB need a free Enzonic account. For guidance on larger sends, see sending a 2 GB file.
Rapidfile does not send an email to the recipient. You copy the link or the code and send it yourself, which keeps the message in your own hands.
How Rapidfile handles your files
Files are encrypted in transit with TLS and encrypted at rest on Cloudflare's network. Every upload is scanned with ClamAV, an open-source virus scanner. Flagged files show a warning and a "Download anyway" option. Single files are sent exactly as they are.
Rapidfile is not end-to-end encrypted. The free plan is ad-supported, and Plus and Pro remove ads on all Rapidfile products and apps. If the file is highly sensitive, use a service that offers end-to-end encryption, and read Microsoft's privacy and terms pages for what OneDrive does with your content.
Steps for a one-off send from Rapidfile
- Open rapidfile.cc in a browser. A file up to 500 MB needs no account.
- Choose an expiry and, if needed, a password or download limit.
- Copy the link or read out the 6-digit code. Show the QR code to someone nearby if that is easier.
- For files between 500 MB and 2 GB, sign in with a free Enzonic account first.
Which one should you use?
Use OneDrive when the file belongs in your Microsoft storage, when you work in Microsoft 365, or when a team needs one place to keep shared files over time. Use Rapidfile when you want to send one large file to someone outside your account, want an expiry without a paid plan, or prefer a 6-digit code over a long link. Check what your own OneDrive sharing dialog offers before you choose, because the options depend on the account you use.
FAQ
How much free storage does OneDrive include?
Each Microsoft account includes 5 GB of free OneDrive storage. Paid storage comes with Microsoft 365 plans. Check Microsoft's site for current prices and terms.
Can I set a password or expiry on a OneDrive link?
Microsoft's sharing help says both options are for Microsoft 365 subscribers. Check Microsoft's current help to see whether they apply to single files before relying on them.
Can someone who is not in my organization download a OneDrive file?
Yes, if you create a link set to 'Anyone'. Rapidfile does not need a link like that, because every transfer already works for anyone holding the link or code.
Does Rapidfile need the recipient to have an account?
No. Recipients open the link in a browser or type the 6-digit code at rapidfile.cc/receive. No account and no app are needed.
What is the largest file I can send with Rapidfile?
Without an account, 500 MB. With a free account, 2 GB per transfer. The Plus plan allows 10 GB and Pro allows 50 GB per transfer.
Does Rapidfile have an iPhone app?
No. iPhone and iPad users use the website at rapidfile.cc in Safari. The Android app and the Mac and Windows apps are separate downloads.
